PASTORAL COUNCIL ARCHIVES Meeting minutes for Monday, September 8, 2008
Father Dave offered the opening prayer commemorating today’s feast of the nativity of the Blessed Virgin Mary. The minutes of our last meeting on June 2, 2008 were reviewed, corrected and accepted. Chairman Mike Bocchini distributed a signup sheet for assignment of opening prayers. Dates for 2008-2009 council meetings include: Oct. 6; Dec.1; Jan.5; Feb. 2; Mar. 2; May 4; and final meeting on June 1. Note: no meeting in Nov. due to memorial Mass conflict and no meeting in April due to Holy Week. Discussion of goals for the Pastoral Council for 2008-2009 resulted in the following: 1. Continuation of the Small Christian Community initiative currently in progress. 2. Continue to work on inter-parish collaboration with St. Elizabeth Seton including both social and liturgical activities. S. Gagne noted that youth groups from both parishes are planning a joint charity dance and a youth spectacular. 3. Deacon Bob proposed considering an abbreviated Just Faith program that would only entail an eight week commitment instead of 30 weeks. The Congregational church in Rocky Hill has invited St. James parish to their 200th anniversary services and block party at 10 A.M. Sept. 21. A motion was passed to send flowers, a letter of congratulations wishing them future blessings and assurances that their congregation will be remembered in prayer at all our Masses that weekend. Deacon Bob, M. Bocchini, J. Arcari and other representatives from our parish will attend the service and festivities. Ministry Reports: Executive Committee Father Dave reports that the S.C.C. nine member steering committee is progressing well On the financial side, boiler repairs last year resulted in a surplus of 8,000 gallons of oil which will decrease expenses this year until they are used up. Thereafter our costs will rise due to the increase in the price of oil, regardless of who is awarded our next contract. There are no plans at present to reopen a pastoral associate position. Leigh Ann Hammond is in charge of the Faith and Fellowship ministry and will help to coordinate the publicity and stewardship committees. Our temporary weekend priest Rev Robert Vujs may be returning to missionary work in Africa. Meanwhile, Father Frisbee continues to recuperate. Deacon Bob (and other council members) reported an enjoyable retreat for liturgical ministry members this past weekend at the Genesis Center. Stewardship Committee: Rene E. Reports there will be no ministry fair this year. There will be a stewardship bulletin board in Father Shea hall where ministries can highlight their needs and deeds. The next stewardship brunch for new parishioners will be held at 12:30 0n Sept. 28 in the parish center. Music ministry: Joy reports that a decision to only purchase missalettes for the church will be cost effective. Greeters will be handing out music programs at Mass and people will return them to special baskets at the end of Mass. She attended a week-long institute for choir directors and is planning new challenges for the choir. Liturgy: Lorraine L. reports that the annual blessing of the animals will be held on Oct. 5 at I P.M. behind the parish center. The annual memorial Mass for deceased parishioners will be celebrated at 7 P.M. Nov. 3. Youth ministry: Sharon G. First youth Mass will be September 21, followed by a video presentation of Sharon, Lauren Charamut, and Abby Rosenberger regarding their trip to Australia for World Youth Day. Religious Education: Carol R. There are 511 students registered for grades k-10. Classes begin Sat. Sept. 13. The catechists have attended their pre-classes meeting and all positions have been filled, including substitutes. Respect Life: Gerry L. noted that October is Respect Life Month. There will be monthly updates for our spiritually adopted babies. Parishioners can refer to www.catholicsvotecatholic.com as a voter resource .Handouts on the Catholic bishops response to misleading statements by Nancy Pelosi, House Speaker, regarding the church’s teaching on abortion were distributed. Social Concerns: Marie Nespral reports that the Office of Urban Affairs will hold a meeting at the Aqua Turf on Oct. 16. Representatives from St. James social concerns committee will attend. Precious Blood Prayer Group. Jean and Lori report that they have a new member. They note that attendance at the First Friday Eucharistic Adoration has increased. Building and Grounds: Bob S. and Father Dave reminded us that it will be possible to order engraved bricks until the end of Sept. Carillon chimes are especially appropriate as memorials for the deceased or for special anniversaries. Father noted the curb appeal of the church has been enhanced by the addition of flowers planted by parishioners. The focus of the reading was Signs and Wonders verses Trust in God's promise. The February 2008 Minutes were reviewed corrected and accepted. Gerry L brought to our attention Article 8 Section 1 in which it says..." no meeting shall be conducted unless the pastor is present". Gerry L. advises that we should consider amending this rule. Father Dave believe that the constitution if it did not now should allow the pastor to delegate someone to preside over the "Council" meetings so they can go forward in his absence. Father advised that we have obtained a new "Processional Cross" as a commemorative to the people providing St James with a recent bequest, Ben & Sophie Holewa. Bob Smith advised that we have a new snow removal contract which he feels has worked out well. He feels the service, although more expensive than our last was very good. Carol Rizzo affirmed this, citing a snowy weekend she was working at the church and was greeted with clean walkways when leaving. Father Dave advised that the church yard incurred some tree damage from a recent storm that would need some attention and cash outlay in the near future. Father Dave advised that we were going to maintain the status quo for Religious Education Directors with Tom Saccerdote and Carol Rizzo each working part time for now. Carol will be in charge of all the sacramental programs. Registration for Religious Education will start soon for next year's classes. Some home programs are also being started. She reminded everyone that all Religious Education teachers must have Vertis Training. Recruiting for catechism teachers has been difficult; anyone knowing of anyone interested please have them contact the CCD office. At this point Carol also pointed out the support she receives from the Parish Office i.e, Beth is phenomenal and she wanted everyone to know what wonderful help she receives from the parish office. Joy also interjected that the support is so helpful and appreciated. Lorraine also pointed out that feedback seems to indicate that the new catechism program appears to be positively impacting catechist. Sunday March 9th is the St Joseph Medal of Honor award Sunday. Everyone has a received positive feedback for Grace The Finance Council is still looking at the finance picture in an effort to make recommendations for cutting expenses and thoughts on campaigns for increasing revenue. A suggestion was made to have contributions made through automatic bank transfers. Father pointed out that we are not at the financial level to make this worthwhile. Mailers may be placed in the envelope packages we receive to make it easier for people who are away to mail in their weekly contribution. Lorraine pointed out that this would be very helpful for those parishioners on vacation. Father gave a breakdown of collections in that 5 1/2% go to the archdiocese, 5 1/2 % go for diocesan catholic school plan . Gifts however are not taxed by the archdiocese. John Arcari asked about cutting the cost of repaving the parking lot by cutting out some spaces. Bob Smith pointed out that several spaces had to be yellowed out to improve safety conditions in the parking lot. Bob also pointed out that the parking lot has lasted as well as it has due to consistent refilling of the parking lot cracks. John Arcari had raised the issues of the relics in our church altar. Father Dave advised that the relics were from St Fulgentia and St Constantius both lived around 400 AD. Deacon Bob expressed his appreciation for the improved attendance at his lecture series on the Near Death Experience. He said attendance for this year's lecture was better than last years. Deacon Bob also pointed out that he had talked to Brother Moriarty and he wanted to know whether or not enough people could be convinced to take the SCC leadership training. Deacon Bob would like feedback on that. Gerry L. also pointed out that we needed to talk about leadership roles for next years Pastoral Council, which was overdue to change. Gerry also asked if people had seen his email containing the movie trailer "Expelled". He hoped that we might attend the movie as a group later in the year. Ministry Reports: Religious Education advised that registration would be done in person at the church on specific nights. First Communion names are to be read in the Prayer of the Faithful. The noise level prior to Mass and misbehavior of children during Mass was discussed. Music Ministry director Joy pointed out that they were very busy with rehearsals and putting together the Easter Triduum program. Joy pointed out that Julie was out for a brief while with emergency surgery for appendicitis. Joy also pointed out that use of the children's choir had to be planned carefully to avoid the "performance syndrome" rather than appreciation for enhanced liturgical music. The Community Life flower sale was going quite well. Polish night tickets were going on sale in the near future. John A. pointed out that perhaps narrower tables could be purchased to relieve overcrowding in the vestibules after Mass which are there to provide sale and event signup after Mass. John A. would also like to see a Did You Know column in the bulletin in an effort to raise awareness and greater interest in our Church and our Faith. The pancake breakfast was successful. Liturgy committee will have the traditional and ethnic Breads after the Holy Thursday Mass. The Holy Thursday Mass collection will be used for the Immaculate Conception Shelter kitchen renovation. Names for the Holy Thursday foot washing ceremony should be given to Joe Klivak. The Easter Vigil Mass will begin in the Parish Center and process to the church after the readings. The Respect Life ministry is advising that the spiritual Adoption of an unborn baby begins on 3/29/2008. Please pray faithfully. Catholic Concerns Day at the Capitol is 3/6/2008. There is also a legislative hearing planned to have "Planned Parenthood" teach sex education in our public schools. Those who can contact their legislator concerning this issue should do so to voice dissent. Respect Life will also be sponsoring a Baby Booth drive this summer for the Pregnancy Crisis Center. It was pointed out that St. Elizabeth Seton raised over $4000 last year for the support of the center. Faithful Citizenship will provide a bulletin stuffer to help people review issues and candidates with the Fall Election. The January 2008 Minutes were reviewed and accepted. Father Dave was ill and could not be present. Deacon Bob therefore reviewed the process for initializing Small Christian Communities. Priorities included identifying a core group of 40- 60 people who could be trained to lead and initiate a S.C.C. Secondly, Deacon Bob felt it was important to recognize "the Way We do Church." The goal of church being the connecting a life of faith to build 'community"; it is a growth process that puts into practice our Christian teachings and values. Initializing the leaders is the most difficult process. Gerry L. then asked; do we want to go forward with this mission? Marie asked if there could be some assurance that this is a means to accomplish a goal that we set out for ourselves in our planning session. The answer was yes. Deacon Bob then reviewed the initial setup which was a core group of SCC leaders with groups consisting of about 10 people. Subsidiary goals would of course be a strengthened parish which would include good stewardship. Challenges were identified as follows: 1. Not to go faster than a given group can go. 2. Limiting ourselves tends to limit goals and outcome. 3. Observe cautions. Bob Smith asked if the "Renew" program wasn't the cornerstone of SCC. The answer was yes. He then suggested that perhaps the 40-60- core people could come from your original Renew people. Deacon Bob talked about the need for SCC due to the changing landscape of the Catholic Church, i.e., the lack of priest to lead an individual parish. Jean R. interjected that there was a need for community if one was to profit from spiritual growth. Cindy S. talked about SCC evolving from our existing parish organizations/ministries and asked if we were targeting the existing groups or new development. Cindy felt that by targeting existing groups or ministries you might more easily develop the core groups needed to get started. Everyone was asked to reflect on this. Gerry L. suggested we name 5-6 people who might be able to come and learn about the SCC plan. Gerry felt the personal invitation would be the best way to get people to come. Stepping back to Cindy's earlier question about our original targets was answered with "No, it is not intended to target these groups at first". Carol R. suggested using the May Mission as a time to target parishioners to lead SCC. It was felt that after a successful "Mission" parishioners are generally on fire and eager to step up to commit. Everyone was reminded about Deacon Bob's 3 week presentation on Death into Life. Cindy pointed out that the Archdiocese allotted only 8 tickets to each parish to see the Pope in April. Notices were circulated by Carol R. and Cindy concerning support for our 2008 confirmation class. Everyone is asked to take a candidate's name and write a letter of encouragement. Carol spoke about each candidate's commitment to the religious journey. LETTERS ARE DUE BACK NO LATTER THAN 3/8/2008. REMEMBER TO PRAY FOR EACH CONFIRMATION CANDIDATE Ministry Reports Jean R. reported a new member at the Precious Blood Prayer Group. John Arcari reported that the Stewardship Committee sponsored the new parishioner breakfast which was held on 1/27/2008. The plant and bulb sale will be starting soon. 50 % of the proceeds would be going to Community Life. 3/19/2008 is the Seder Meal at St. James, the cut off for tickets will be 3/14/2008. 4/19/2008 is the Polish Night Dinner. Tickets are $25.00 and it will be catered by Michaels, music by Lenny Moochie. Rene interjected that there were 30 people who attended the stewardship breakfast. Joy O' reported that the Music Ministry is gearing up for Lent and she is enjoying working with the Children's choir, which is wonderful. Sharon G. reported that the Youth Group was preparing the Cupid Messages Plan to those purchasing a message delivery in Rocky Hill on Valentine's Day. There will be a Jr. High Dance on Friday 2/8/2008. She also indicated that the Charity Dance went well and that the Mills Foundation was pleased with her donations of $450.00 plus toys and games donated at the dance. Cindy invited everyone to see what RCIA is about on the 4th Wednesday of March, 3/26/2008 at 7:00 PM. This will be an informational meeting. Cindy also advised that Voices That Blend will not be able to make it here during this Lenten Season. Marie Nespral advised that Social Concerns has a new attendee. The confirmation Class provided a Pancake Breakfast which produced a $168.00 profit. They are planning a new breakfast which will use the funds for Homeless Shelters. Confirmation will be held on May 2nd 2008. Archbishop Mansell is expected to preside. Deacon Bob is planning to offer a Tai Chi course in the near future. Gerry Luczak asked everyone to please consider a 40 day prayer for our candidates for public office. Gerry also talked about the March for Life held in Washington, DC this January. He pointed out that on the average 30,000 copies were made from the office of Religious Education per month. He said that he and the office staff were looking into new copier options. Father Dave also pointed out that our electricity bills were also extremely high and he was looking into an alternative electric company. Father indicated that attendance was down by about 125 over the last 12 months. This has been the mean drop in attendance over the past several years. Attendance, however, affects revenue. Father advised that Peter Caruso is looking into new revenue sources. Father pointed out that although attendance and revenue are down registration numbers have increased. The number of registered members at Saint James is now 1,830 households. Father is recommending that the October count be taken again in April to more hopefully reflect a more balanced registration and attendance in numbers. Father gave an aside from the N. Y. Times which talked about evangelization in new denominations and Sunday formation. He felt that juxtaposed to our own parish, however, it appears that parents no longer attend Mass with their children and extended family. Deacon Bob talked briefly about the parish Book Club in which the group was reading Maggie Morris's book Clowns of God. In this book the story demonstrates how the individual struggles with their relationship with God as well as the struggle of belief in the community setting Deacon Bob also talked about a Minneapolis seminar that begged the question "are people of faith being transformed?" Deacon Bob indicated that he has seen firsthand, that self examination and transformation do occur when experienced in a faith based community. Deacon Bob also pointed out a need for more publicity for those recognized from St. Elizabeth Seaton for their community outreach. He also raised the issue of adult education in Catholic Catechesis. He pointed out that he was giving a seminar at St. Matthew's Parish and a talk on Catholic Social Teaching at St Joseph's in Pequannock, CT. He said he has offered Tai Chi in a 6 week course and would be happy to offer one here again. The focus and purpose of Tai Chi is to prepare the person for deeper reflective prayer. In an effort to take the pulse of the parish, discussion ensued on the best way to do this. Surveys were suggested, however Deacon Bob urged the group to consider the "appreciative inquiry", which he felt was very poignant and seriously gave back something of substance to build on. Gerry asked that we return to old business and look at the planning seminar and attempt to focus on specific areas we could realistically tackle and accomplish as a parish. Discussion ensued concerning outreach to the only other Catholic parish in town, St. Elizabeth Seton. It was suggested that perhaps the calendar of events attempt to co-ordinate events with St. Elizabeth Seton. Youth Group, facilitator, Sharon Gagne, had hoped to increase youth participation by 30 % by inviting youth from Elizabeth Seton. Joy O'Sullivan, our music director extended her invitation to an inter-church choir to St. Elizabeth Seton but received little response. Sharon Gagne also invited St. Elizabeth Seaton youth to participate in a youth dance but received little response. Deacon Bob suggested we co-ordinate home front day with St. Elizabeth Seton. He felt that home front day helped identify various people for other ministries also. After lengthy discussion concerning the 4 topic areas recognized in our planning session it was decided that the focus should be on "Ways to Educate Parishioners." He felt that unless the parish was focused on God and His will for us there could be no harmony in accomplishing tasks or good works, as a parish. Deacon Bob felt some teaching might reach the people from the pulpit, but the homily's application was limited to the reading and gospel of that day. He did indicate that he would try to maintain an interactive web site for anyone wishing to discuss the homily or gospel teaching. Marie Nesperal raised the question about our goals and wanted to know how we could achieve the planning session goals. Deacon Bob felt small groups could be formed to meet for 20 minutes to brainstorm for solutions and suggestions to any given task. Lorraine L. asked who could accomplish these goals. Responses included, - the parish council hoped to accomplish these goals via their respective ministries. He also indicated that that in his experience, rarely was it possible to get much accomplished if the meeting had too many participants. The council was polled on whether or not to discuss and attempt to work on all of the goals the planning session developed. It was agreed that we should attempt to accomplish one goal. While all goals of the planning sessions were valuable it was felt that the key goal should be to find ways to Educate and Form the Parish population. Gerry asked that we return to committee reports and then hopefully we could return to discussion on our planning session goals. Jean Roncaioli felt that the individual ministries should send more representatives to the council meeting to better understand the work ahead of us. Cindy S. also felt that other ministries could benefit from attending our meeting. Sharon Gagne indicated she would like to have more youth attend so that more of their issues could be discussed. Father pointed out that "Sew Good Works" was another example of a ministry that did so much good work but was definitely under represented. Bob Smith said he would look into signage for the parish center. John Arcari suggested we look into a smokeless ashtray. Virtus training can be scheduled through the Chancery if there is enough interest to hold a full class. New Business Gerry asked about ministry budgets. The question was raised in an effort to address candles for Eucharistic Adoration. Color and quality of the candle is an important issue. Lorraine L. thought perhaps the item could be put in their budget. Cindy S. felt the parish could provide candles for adoration. Community Life is working with religious formation and the "confirmation candidates" to put together an "Ox Fam" dinner. They will also have a flower sale coming up in February. John A. asked if the TV Mass was in need of food for all participants. The Mass celebrated by Father Dave will be aired on WTXS December 2, 2007 after recording on December 1st 2007. The choir will participate. Liturgy Committee advised that they will distribute blessed bread after Mass on Thanksgiving. Social Concerns Committee is continuing to collect food and clothing for local Food Pantries and Homeless Shelters. Social Concerns will also continue their involvement in "prison ministries" by collecting clothing and household goods needed by those recently released from prison. Youth Group facilitator Sharon G. said the Tag Sale, which was co-coordinated by Sandy Rokosz, was a huge success. There were 44 tables of items which yielded $830 in profit. She also reported that the Mello's Retreat Center was not yet open, therefore the youth group was not be able to visit this November for a retreat. RCIA has 2 new inquirers. The quarterly newsletter needs more photographers and writers. Music ministry reported that the 1st Dixieland Band concert was held on October 23rd, 2007 at the Mapleview Manor. They were well received and planned to do another concert at the Veterans Home in the near future. Joy also reported that a new piano was received as a gift from the Salkievicz family. Stewardship committee reported that they were planning to do a New Parishioner Brunch in the early part of the new year. Here they hope to highlight all of the church's ministries. Respect Life Committee is holding a baby shower the weekend of November 10th and 11th . Gift may be placed in either vestibule. Anthony Luczak will speak after each Mass to highlight his missionary work and seek financial support for their missionary work. Gerry L and Mike B. requested that everyone get out and vote on Tuesday November 6th 2007. Mike felt that the new voting machines should enhance voting accuracy. He began by calling for ministry reports. Ministry Reports Liturgy announced that Saturday would be the Blessing of the Animals. Father advised that on 11/2/2007 the Memorial Mass for All Souls Day would be held at 7:00 PM. All parishioners who passed away in the past year would be remembered and named at this Mass. Music Ministry Joy O'Sullivan pointed out that the adult choir was overflowing the choir loft and may be difficult to contain in the loft. The Dixieland Jazz Band would debut in the near future. Precious Blood Prayer Group representative Jean Roncaioli advised that attendance had improved for1st Friday Adoration of the Blessed Sacrament since Deacon Bob has brought us Benediction and the processing ceremony. Youth Group facilitator, Sharon Gagne, announced that there was a Ex-audio concert presented on 9/30/2007 She also indicated that the Stop and Shop gift card sale is going well and would be available after every Mass. A youth rally is to be held on 10/14/2007 at Lake Quassipaug Amusement Park. A Tag Sale will be held on 10/20/2007 so everyone may bring their items to the Parish center on 10/19/2007. Community Life advised that St. Elizabeth Seton was to receive an award at the Office of Urban Affairs dinner. Those wishing to attend should contact Cindy S. by 10/3/2007. The award dinner is scheduled for 10/23/2007. John pointed out that a Parish Bulb sale will be held again in February in hopes of matching last year's sale which netted $750.00 4/19/2007 is the evening scheduled for the Polish Night Dinner; there will be live music and tickets are $25.00 per person. Scholarships will be awarded at this dinner. New Business John Arcari suggested that the Religious Education Office could use computer up dating. Father advised he was looking into having the PC's networked with the rectory PC's. John pointed out that he had several friends who were capable of PC networking. Sharon G. asked if the Parish Center could be made a "No Smoking" area with signage. John Arcari suggested that all rental contracts should included "no smoking" in the contract. The "Planning Meeting Summary" was provided by Gerry Luczak. Discussion ensued: Deacon Bob talked about key issues and concerns of those attending, 1st among everyone's concern was social justice. He pointed out that inviting people from the Office of Urban Affairs might shed some light on the needs in the community as well as enhance our commitment. Also key in the planning is how to quantify our success after executing key concerns from the session. Deacon Bob said that he would invite conversation and feedback via the Web. Father Dave raised the question; what does the Planning Session mean for us. Rene suggested that a "needs assessment" be processed for the parish. Deacon Bob felt that his experience with surveys provided little feedback; he preferred to use the appreciative interview process. Discussion ensured; Joy asked which process we were going to use. Deacon Bob advised that the process is a year long process. Cindy S asked what the council's role was in accomplishing these goals. She provided feedback indicating that individual ministries were concerned that the "council" was or would set the individual agenda's of each ministry. John Arcari felt it was really an integrated agenda of ministries and council. Cindy S. was also concerned that all of the time and participation should not be wasted and hopefully we can form some new thoughts or insight from our planning session. John Arcari reported that the fashion Show netted $700.00 in profit while the entire project was a $2,000.00 event. The Parish Picnic will be held on Sunday July 29th with an outdoor Mass at 11:30 AM weather permitting. Help is needed to set up tables and chairs outside. Community Life is planning a Pasta supper in September The Youth Group netted a $502 profit from the car wash held earlier this month. A Steubenville Conference will be attended in July by several in the Youth Group. The Mother's Day flower sale yielded a $280.00 profit. Flowers were donated by the Gordon Bonetti Florist. Respect Life committee revealed the significance of the Plan B act concerning the requirement of all hospitals, including Catholic Hospitals, to administer the RU482 drug upon request. Gerry Luczak reported that Archbishop Mansell met often with legislators to try to dissuade the passing of this bill. The Connecticut Catholic churches are expected to bring suit. It is noted that there are only 4 Catholic hospitals of the 13 hospitals in Connecticut. These 4 hospitals provide over $100,000,000 in free services for the poor. The marriage bill was dropped by the judiciary committee in the legislature and will not be voted on in this session. Bob Smith would speak Senator Doyle concerning his misinformation concerning several Catholic and relevant social issues There are also plans to cut back on funding for the Department of Mental Retardation and the services they provide as well as funding for handicapped services and illegal alien services. Jean Roncaioli from The Precious Blood Prayer Group reported that attendance at First Friday Adoration has increased at closing due to Deacon Bob's service in which he provides "Benediction and a beautiful Blessing to all in attendance. The Liturgy Committee advised they are planning to develop a campaign and ask for signage that will raise awareness for all attending church to respect the silence before, during and after Mass in the church. Suggestions were solicited on how to educate parishioners and raise awareness of their lack of respect. Suggestions included signage, monitoring at Mass and announcements from the pulpit and/or by the Cantor. Gerry Luczak advised that he was approached by a parishioner who felt that the Blessed Mother could be honored by naming the day chapel in honor of Mary. Discussion ensued. Deacon Bob with Sharon Gagne's help provided a written synopsis of our pastoral meeting with Sister Kline. He also reported that since he has come to St. James he has been developing thoughts through observation concerning critical areas to develop and key areas to focus on. Gerry thanked Bob for writing the synopsis and Deacon Bob advised that he appreciated the journey that the review and writing took him on. The 3rd Saturday in September 9/22/07 was agreed on as the date for reconvening our steering committee 9:00Am - 2:00 Pm The office of Urban Affairs is looking for volunteers through churches to assist recently released prisoners. The diocese takes these issues very seriously. Gerry asked for prayers for his son and daughter-in-law who are beginning missionary life. Father Baranowski offered to pray over them and provide a blessing and sending rite upon Holly and Anthony after morning Mass on Tuesday. The Stewardship Committee wants to involve more current parishioners in the "current parishioner" events, paralleling the new parishioner brunches that bring new parishioners into involved commitment to the parish. Prayers were also requested for our 3 RCIA candidates. Minutes were corrected and accepted. Father Dave spoke about the past weekend's "Financial Report" to parishioners. He added that he felt we should be fully disclosed to our parishioners. A printed report is expected to be distributed and mailed to all parishioners who contributed over $250.00. For the fiscal year 2006 expenses were greater than collections. Father also pointed out that normal expenses could greatly diminish savings over a several year period if there is not an increase in collections. In addition, he believes there will need to be separate collections and drives to offset capital expenditures. A retreat leader has not yet been commissioned; when one is, the retreat will be scheduled for the Pastoral Council.. The annual October church census has reflected a decline in attendance. It was suggested that we should consider counting attendees in April, to more correctly assess our parish size. The decline in attendance negatively impacts revenue. Deacon Pallotti affirmed that St. Mary's in Newington, where he attended last weekend, is encountering a similar financial picture, including declining enrollment. Deacon Pallotti pointed out that that they are still trying to line up a retreat facilitator. There will be no April meeting, which is during Holy Week. The retreat may be held in May if a facilitator can be arranged. The consensus was not in favor of mixing the council meeting with the retreat. The "Saint Joseph Medal of Appreciation" ceremony and Mass will be held at 3:00 PM at Saint Joseph's Cathedral in Hartford on 3/18/2007. The count for photography sign up is approximately 140. Agenda Items Rectory renovations were suggested, however, Father Dave pointed out that several appliances have been replaced, the kitchen sub flooring has been replaced, a new furnace was installed, lighting repairs and office renovations at the rectory have occurred. Painting will be done in the near future. Father Dave felt that rectory renovations should be moderate, however. Gerry Luczak pointed out that the "spring clean up" needs to be scheduled for a Saturday in May so that everyone can plan for this date. The date will be provided next month. Ministry Reports: Community Life A Seder Supper has been scheduled for Wednesday April 4th . The Fashion Show scheduled for Sunday April 29, 2007 is still in need of carpenters, techies and models. John Arcari has spearheaded a stage building project, which is in need of a storage facility. John requested that the Spring Clean-Up include cleaning out the storage garage so that the staging could be stored in there. Gerry L. asked where and how we could dispose of the garage contents, Bob Smith suggested that we rent a dumpster, Father pointed out that one of the large items in the garage is a marble altar, which can not be disposed of. It was agreed that John could temporarily store the staging in one of the rectory garage bays. Gerry pointed out that storage is badly needed by all ministries and that we should consider an inventory of all stored items and the potential for building a new storage area. John Arcari also advised that Gerry, a long time resident at the Maple View Manor Nursing Home, was currently hospitalized. Cards, prayers and well wishers will be appreciated. Game Night has been cancelled due to the State's stricter enforcement of gaming laws. Cindy S. highly recommended the concert "Voices that Blend" scheduled for March 25th after evening prayer. This is a town wide concert. Cindy S. pointed out that the St. James web site is currently down and will hopefully be restored to full operation in the near future. RCIA Process: Please pray for and support our 3 new RCIA candidates. Cindy S. spoke about the 3 candidates enrolled in RCIA and what we could do to help support their rite of initiation and call to continuing conversion. The Rite of Sending will take place on Sunday 2/25/2007 at the10:30 AM Mass and the Rite of Election/Call to Continuing Conversion will take place at the Cathedral in Hartford at 3:00 PM The second Sunday of Lent will be the Penitential Rite. Social Concerns Marie Nesperal spoke about Free Trade Coffee and "Equal Exchange". Equal Exchange helps support small farms, training and education. Marie indicated that the Church could purchase a case of coffee for $26.50 and retail the coffee for $5.30 per bag. She advised that tea and chocolate were also "Free Trade" items. Free Trade coffee is an initiative supported by the Inter Faith Co-operative. Order forms are being made available . Precious Blood Prayer Group Jean R. reported that Deacon Bob celebrated Benediction at the closing of First Friday Adoration. Attendance increased at Adoration and Closing due to Benediction. Youth Ministry Sharon reported that the youth ministry sold $575.00 in stars for the youth dance "Dancing with the Stars" and raised over $2,000 to purchase "Wish List" items for St. Agnes Home. John A. advised that Community Life would assist if an adult version of "Dancing with the Stars" was put on, which could also raise funds for the Saint Agnes Home. Discussion ensued on the potential for attendance. Father D. pointed out that at the last few adult functions were poorly attended. Deacon Pallotti questioned whether or not adults still danced. John A. thought that maybe a combination function with St. Elizabeth Seton would be more successful. Lent Ash Wednesday is February 21st - the beginning of Lent . A town wide penitential service will be held on 2/26/2007 at St. Elizabeth Seton Evening prayer will be held 5:00 PM on Sundays and 6:30 PM on Mondays and Wednesdays. On Wednesdays, at 7:00 PM, following evening prayer, Father Dave and Deacon Bob will present a Lenten series. Presentation topics will be indicated in the weekly "bulletin". Respect Life The Respect-Life committee reported that 7 or 8 buses left from Connecticut to bring marchers to the 'March for Life" March and Mass in Washington, DC. Gerry L. pointed out that 250,000 people marched in the "pro-life" march yet there was almost no coverage by the secular media. Gerry juxtaposed this coverage against 4 days of media coverage for a 150,000 person rally against the War in Iraq. Gerry reported that the Civil Union people are seeking protection under the Right to Marriage Law and would like everyone to contact their legislator to vote against this outrageous bill. Father pointed out that all of us, individually and as a focus group, could loose are effectiveness without concerted prayer, reflection and guidance. - "as a ship not using its rudder". Deacon Pallotti pointed out the retreat could possibly be a retreat for "Process" which could give the council a chance to initiate a more positive and scriptural direction to our meetings and enhance the effectiveness of the Pastoral Council. Deacon Pallotti also pointed out that the Pastoral Council could accept a retreat as a task assignment which could lead to a greater Vision for the Council and the Parish. It was announced that Cindy Sobiesiak would be temporarily reducing her hours of work to allow more time for the writing and ultimate completion of her Doctoral Thesis. Discussion and the selection of a candidate for this year's Saint Joseph Medal of Appreciation for outstanding service took place. This years honoree is Ray Benedetto. Cindy reviewed the process and value of the RCIA "Pages" project. It was agreed that parishioners leaving food in the refrigerator in Father Shea Hall should expect that all items should be considered left over and may be used and available to every meeting group or ministry unless marked to be reserved for a special occasion or meeting. Cleaning Fee increase from $75.00 to $100.00 All Rentals will require a signed contract and proof of insurance Non Profit Organizations will be charged a Flat Fee of $200.00 per event. Increased fees were predicated on a cost analysis provided by Nick Bonadies Bob Smith also indicated that the town asked to use the facilities for free while they in turn charge Saint James $2,800.00 for the use of the elementary school for our religious education classes. Photo Directory Father B met with Dave Wade from PCA who will develop a new "Photo Directory" for Saint James Parish. People are needed to solicit and maintain signup lists for photograph appointments. Families who have a photograph taken will receive a free Directory and a free photograph. Photographs will be taken January 30th - February 3rd and again on February 6th - February 10th, 2007 . Those assisting with the Photo Directory project will receive a 50% reduction on all photo packages. These people include Mike Bocchini, Ralph Chaterdon, John Arcari and Lorraine Levesque. The directory should be completed in May or early June of 2007. Photos will be taken in January or February of 2007. Father stressed the opportunity to meet new parishioners. A meeting to be held on November 28, 2006 will initiate and develop strategy to solicit parishioners for the photo sittings. Ralph Chaterdon, John Arcari and Lorraine Levesque agreed to meet and start the "Directory" planning. Office Renovations Father advised that the office renovations are complete and that a bid for the rectory furnace replacement was submitted for $10,000.00. The finance committee approved the expenditure and work will begin on Thursday, November 9th or 10th. The church heating system will cost approximately $50,000 to be replaced. DLP Video The new DLP video system was purchased for $499.00 - [$2,500.00 less than our original quote] - which will provide widescreen video capabilities when needed. The system has a built-in sound system, is portable, and may be used anywhere. The system is currently housed in the rectory. Please contact the rectory office for scheduling of the system. 60th Anniversary Report Everyone loves Archbishop Mansell. John Arcari reported that the turnout for the Archbishop's reception was good, donations were made for the dessert items, however, monetary donations are still sought to defray other food costs. Father also sought input and thoughts on changing the Christmas Mass schedule. He preferred to keep the 4:00 PM and 5:30 PM on Christmas Eve, change Midnight Mass to midnight and keep the two Christmas Day Masses. The Pastoral Council agreed with all changes. Additional Penance hours will be added on Saturday December 16th and there will be confession on Wednesday December 20th from 3:00 PM -5:00 PM. Father Baranowski and Father Pinette discussed taking an "ad" out in the local newspaper inviting the community of Rocky Hill to Christmas Mass. Father also pointed out the urgent need to replace the rectory furnace. The council had no objection to replacing the furnace immediately. The Finance Council will presumably make appropriation as soon as all estimates have been received and reviewed. Dennis Donovan will be replacing Gerry DeSimone as the Stewardship Committee representative. Dennis will also be heading up the Ministry Fair scheduled for Sunday October 15th. Notices of the Ministry Fair will go out to all ministries this week, per Cindy Sobiesiak Bob Smith reminded all ministries submitting bulletin inserts to indicate the date of the Ministry Fair for readers' easy reference. Gerry reminded us that the Saint James Parish 60th Anniversary, 9 week Novena, will be placed in each missalette in the pews and prayed after each Sunday Mass. Father Baranowski requested that definitive plans be made and publicized for the Archbishops' visit and Mass. Invitations will go out to all parishioners inviting them to the Archbishop's noon Mass and reception on Sunday December 3rd, 2006. Gerry Luczak asked about publicity in the bulletin. Father indicated that his column announced the Archbishops' planned visit, Mass and reception. Father would like to see historical information at the Parish Center on that day. It was suggested that the bulletin solicit old photos of the Parish and Parishioners. Gerry Luczak indicated that an E-Mail from one parishioner suggested supporting another outreach program beside Carmen Pampa University in Bolivia. Most council members felt we should continue to support this project, that we probably haven't done enough and we should continue to project this worthy ministry effort and develop other means to financially support the University in Bolivia. Gerry pointed out that a membership committee is required under our "Council Constitution". [At the same time he also feels communication needs to be improved.] He advised that council membership should be at about 20 for a parish our size. He and Mike Bocchini will develop a roster and discuss ways to increase "Council" membership. Ministry Reports Youth - Sharon talked about "Youth Spectacular." She advised that almost all attendees genuinely enjoyed the experience, inclusive of a haunted hay ride, pumpkin carving, and "Adoration of the Blessed Sacrament." She pointed out that Father Baranowski was in attendance as a representative from the "Office of Divine Worship." Archbishop Mansell also attended. Sharon also advised that there was a retreat planned for 'Youth" in Vermont on November 10,11 and 12, 2006. Social Concerns - Home Front Day is planned for May 5th, 2007. A Thanksgiving Food Drive will be the 3rd weekend in October. The 'Urban Affairs" dinner was held at the Aqua Turf on 10/24/2006. Reverend Kevin Gracey will be given an award at the dinner. Respect Life - The Catholic Conference of Bishops wants everyone to know and understand their choice for a political candidate's position on all respect life issues. Liturgy - Blessing of the Animals will take place on 10/8/2006 at 1:00 PM October 24th 2006 Scriptural Rosary at Saint James. November 2nd All Souls Day Mass remembering each parishioner who passed away in the past year. A beautiful Mass and a beautiful tribute. Marie Nespral and the Social Concerns Committee advise that all parishioners should more carefully choose coffee marketed under the Fair Trade Coffee label which more equitably pays Central and South American farmers for the coffee crops. Look for the F.T.C. label or stamp. Fair Trade Coffee pays farmers $.90 per pound while non fair trade coffee pays farmers only $.19 per pound for the freshly picked coffee. Father Baranowski indicated that the Parish Finance Committee advised that St James was technically running behind last year's collections. A recent bequest has made breaking even possible. Although our cash reserve is positive we are now paying $2.49 per gallon for oil to heat the church and rectory. Father also indicated that summer revenue was down, however not as much as last year. Cash reserves will be placed in a Certificate of Deposit and some government bonds. Father cautioned everyone that regular maintenance projects coming in the future should be planned for. Among potential projects is a new heating system or furnace for both the Church and rectory. Estimates are approximately $56,000.00 to replace the "Church" boiler. Primary focus, however, is replacement of the rectory furnace which is in critical need of replacement. Nick Bonadies predicts that new furnaces will pay for themselves in 4 years. John Arcari suggested looking into alternative fuel types i.e. geo thermal, solar, gas, etc. - discussion ensued. Renovation of the rectory offices is currently under way. All PC's are being networked except for the Office of Religious Education. Front sidewalks are being repaired; however, major sidewalk repairs may be needed in the future. Parking lot cracks have been filled for $3,300.00. Driveway repair was last processed 3 years ago. Paving of the entire parking lot may be necessary in the near future. The "water system" needs upgrading. Father pointed out that shut off valves are rusted open and the only current shut off is in the parking lot pit. Father stressed the need to plan for needed repairs to maintain the facility we have. A new "power line" has been brought in by CL&P at their expense. A new Funeral Pall, Deacons Stole, Vestments, and Votive Candle Stands have been donated. Winter snow plowing will go out to bid in the near future. The search for a new "Music Director" is underway; although an offer was made the candidate declined the offer. New applications are being taken and interviews will be processed as soon as possible. New Business A Ministry Fair is planned for October 15th , all representatives of the various ministries are expected to report this information back to their respective ministry so that all ministries and sub-ministries will be represented at the "Fair". Each week a different ministry is to present their ministry with a bulletin insert. It was felt that these inserts greatly assisted parishioners to understand the numerous ministries and active participation at Saint James of Rocky Hill, CT Deacon Pallotti offered to photograph various events if no one was already doing this. Members of the Publicity Committee have been photographing many of our events and would welcome new photographers. Ministries are asked to provide Ministry information and develop a Bulletin Insert to help parishioners and visitors understand the numerous roles and outreach programs available at Saint James. Discussion concerning weekly announcements at Mass about the role of the various ministries was held. Bob Smith felt that the "bulletin inserts" worked very well to educate parishioners. A schedule for inserts follows: September 24th - Liturgy October 1st - Community Life October 8th - still open October 16th - still open A food table will be centralized and provided by "Stewardship". Live music will be provided by Pat Niesyn on the harp. Father also pointed out the need to plan for our 60th "Anniversary at Saint James with the celebration of the Mass, by Archbishop Mansell on December 3rd at noon. Father Baranowski will announce a 9 week Novena to start the weekend of October 7th and 8th . The Novena will be provided in Father's weekly column. Committee Reports Respect Life - 1st meeting will be held on 9/24/06. Everyone is reminded that October is "Respect Life Month" Liturgy Committee - Rosary to be said on Sunday October 22nd, at 1:00 PM Community Life - John Arcari reported that two $500 scholarships were awarded last year and they area looking for new ideas for functions and fund raisers. Please call John or any Community Life Ministry member with your thoughts. Written reports were provided by the Youth Group and the Liturgy Committee. Father provided a list of the immediate to do Church maintenance: Boiler Repair Emergency Light Replacements Front Sidewalk Repair - to be finished in 2 weeks The locked Church was a question and problem for some ministries. Mr. Smith suggested a key sign out system at the parish office for groups needing to stay late and who want to keep a particular door open. The Religious Education Office still needs 7th grade teachers. Please have interested parishioners contact Pat Boorman. The Precious Blood Prayer Group reported that "Adoration of the Blessed Sacrament" has seen increased attendance this past summer on 1st Friday's. Better attendance is needed at closing. Deacon Pallotti advised he would work with us to assist at closing and provide Benediction. We can anticipate many more people attending closing to receive this Blessing. Social Concerns has three groups who will start feeding the homeless at the Immaculate Conception Shelter. Please contact John Meehan to participate with his group on the 3rd Monday of each month or to provide food. Father Dave announced a plan for a new fund raiser -Change for Change - to assist those who come to the rectory in need of financial help. He is recommending that on the3rd Sunday of every month, collection stiles will be placed at the entry ways asking parishioners to put in their change. This will provide a petty cash fund for those in need since no such provision is currently available. Father and Cindy S. are recommending a new ministry to assist and meet with people who are returning to the Catholic Church. The plan would be to update and possibly counsel people returning to the faith. Formation will focus on 1. a theologically correct understanding of the Church and its position and 2. the need for permanent change on the part of those returning. Father Dave advised that he is available for anointing of the sick for anyone who may be having serious surgery in the future. John Arcari will be having surgery on October 2nd and asked all of us to keep him in our prayers. New Business: Father Baranowski advised the Council that he was approached to consider changing daily Mass to 9:00 AM instead of the 8:00 AM schedule, which is used for the entire year except during Lent. Most council members preferred the 8:00 AM time which better facilitated attendees going from Mass to their places of employment. Father also advised that he was approached with a request to have larger votive candelas available for people desiring to light candles for special intentions. Father also advised that votive candles are often a fair source of revenue. Discussion ensued with most members agreeing that, purchasing a new votive candle stand was a positive thing to do. The new stand however will cost approximately $500.00. No one objected to adding the larger candle stand to the church. Father Baranowski also brought up the issue of the shortage of priests in the diocese and the strain on Father Frisbee to drive from Saint Thomas Seminary to assist with our weekend Mass schedule. He solicited the Council's feedback to consider reducing the Sunday schedule by at least one Mass. All Council members were in agreement that this was a reasonable proposal. More discussion to take place at the next meeting. Gerry Luczak and Rita D'Amico recommended a plaque to memorialize parishioners awarded the annual "Saint Joseph Medal of Appreciation" which recognizes parishioners who provide exceptional service to the parish. The plaque would recognize the names of past, present awardees with space for names to be added in the future. Gerry Luczak initiated discussion on Friendship Sunday. Greg Czerkawski beautifully articulated the purpose and function of Friendship Sunday with the ultimate goal to reach out to inactive Catholics and invite them to a special Sunday to make them feel welcome at Saint James. Gerry L. then advised that we needed to decide in the very near future whether or not 1 We want to have a Friendship Sunday event? 2 If so, when? 3 What do we want to plan for this event? A suggestion was made to form a sub-committee to study and determine what and or how to conduct the event. New ideas are needed. The issue of a live jazz band or a DJ was also suggested. It was also agreed to target sometime in the fall for this event. Mike Bocchini and John Arcari agreed to assist in processing the numerous mailings to announce the event. Saint James 60th anniversary planning was discussed inclusive of the Bishop's Mass at Saint James on Sunday December 3rd, 2006. Gerry L. suggested a parish wide Prayer Novena for 9 weeks prior to the anniversary Mass, commencing on October 1st 2006. There seemed to be a consensus that the anniversary focus should be the Bishop's Mass. Father also suggested that the weekly "bulletin" chronicle moments in history leading up to our anniversary day. John A., Cindy S. and Greg C. will provide input for the history blurbs. Gerry L. also advised that he had talked to 3 people to consider joining the Pastoral Council to replace outgoing members. He also pointed out that there was a National Stewardship conference held yearly. This year the National Stewardship conference will be held in Boston, Mass. He pointed out that the dimension and wide perspective provided at this stewardship conference was extremely dynamic and enlightening when we consider the Church's potential nationally and globally. John Arcari focused the council on our 60th anniversary celebration coming up in this fall with the anniversary Mass to be said by Archbishop Mansell. Discussion ensued on ideas and thoughts we might consider to raise awareness for this 60th anniversary celebration, including the Mass to be said by Archbishop Mansell. Gerry Luczak felt it was important for everyone to reflect on ideas for the anniversary and advised we would revisit this next month. The issue of snow removal was raised and the obvious need for a new and better equipped company was pointed out. The problem and concern, however, is a lack of bidders for this type of work. Additional issues briefly reviewed were the continuing use of the Parish parking lot by local neighbors. Liability and precedence was of course a chief concern A Finance committee member will be invited to speak about the churches finances, hopefully at the next meeting. Greg Czerkawski raised the issue of the need to canvass for new Pastoral Council membership. Gerry Luczak advised he would entertain any names or suggestions for new membership and advised he would be approach them concerning membership. Ralph Chaterdon offered to do the April opening prayer. John Arcari alerted everyone to encourage scholarship applications to be awarded by the Community Life Committee. Father Baranowski reminded the council of the upcoming "Mission" to be given by Father Hoar an Edmonite Priest from Enders Island. He also reminded all members to please try to attend the Bishops Extrordinary Service Awards to be held at the Cathedral of Saint Joseph in Hartford. Saint James is honoring Lorraine Levesque for her excellent service this year. Lorraine reminded everyone about the "Wordless Payer Service" to be held at 6:45 PM on 3/14/06. Father Baranowski gave his approbation to the Pastoral Council and prayed that by accretion, both our Parish and Ministries would in time be endowed with new membership and zeal. [I know he is trying to test and teach me to spell better and use the dictionary.] As Father Baranowski becomes more familiar with the numerous ministries and the outreach our Parish undertakes we pray we will have his continued support and prayer for the Holy Spirit to guide our work, menial or grand. I know that many of our ministries need prayers and encouragement due to the undoubtedly countless hours they offer in service and which at times may appear thankless. I especially want to encourage our religious formation director and the teachers or our children and youth; they and the Holy Spirit bring us the Church's future. I can't imagine how discouraging it must be to weekly bring teaching, knowledge and awareness to young people who are so marginally supported in their own homes in embracing and actively practicing the Catholic Faith. January's meeting was started with Cake and Tea to honor Father Shepard on his new assignment to Saint Brendan's and Saint Aeden's in New Haven, Connecticut. Father shared with the council some of the events that led up to his new assignment, including his conversations with the chancery and his endearing conversation with Father Frisbee. Gerry DeSimone gave a farewell speech honoring and thanking Father Shepard for all of his dedicated years of service. Gerry Luczak also shared his thoughts and appreciation of Father Shepard. Donna Lin asked about the transition and who the new priest might be. Father Shepard advised that Father Cyriac from St Aeden's would be an interim administrator until a new permanent priest could be named by the Chancery in February. Father Shepard said that he would advise the parish of this on January 29th. Father Shepard also explained how the opening at St James would be put out to bid for priests to apply for. He also pointed out that there was an opening for a Pastor at St. Stanislaw Church. Gerry Luczak pointed out that by the rules of the "Constitution", the Pastoral Council could not meet without a priest in place as pastor and therefore, the council meeting would be suspended until the new pastor was installed in March. Gerry Luczak and Father Tom dialogued on the transition the shortcomings of the past and recommendations for welcoming a new priest. John Arcari asked about Father Frisbie and whether or not he would stay on at Saint James. Father Tom advised that he would more or less become a free agent and that it will ultimately be his choice whether to stay on or not. Father Shepard recognized Fathers devotion, generosity and concern for al people. Father Shepard shared his appreciation for Father Frisbie and at the same time pointed out how much Father Frisbie liked the people of Saint James. Father Shepard will be away on retreat the 3rd week in January at a continuing education program for priests. New Business Gerry Luczak distributed the revised Constitution with the recommended changes. The vote to accept the changes was to be held with all in favor and 1 abstention. 2006. Father Shepard cautioned he council on obtaining pastoral concurrence on any major issues taken up by the Pastoral Council. Discussion concerning illegal parking in the church parking lot took place, at which time father Shepard and Bob Smith advised that they were actively monitoring this situation and both were working to amicably convince neighbors of the risk and concerns the church had with their use of our parking lot. At one point bob Smith personally visited the home of the illegal parkers to discuss the churches concerns. "No Parking "signs have been posted. Gerry Luczak discussed the role of the Connecticut Catholic Conference and their need to have parishioner sign up to sponsor and receive important information and updates concerning Catholic issues via E-Mail. Recipients are then responsible to disseminate the information within their parish or action group. Council members were asked to speak at each Mass to inform the parish of this critical function and assist in the post Mass sign up. Cindy S. reminded everyone that the Christmas Pageant would be presented on January 7, 2006 and that there was a Concert scheduled for 4PM on January 8th, to be presented by the Parish Choirs and conducted by Greg C. Donna Lin asked Father Shepard to talk about goals he had for Saint James Church and Parish, but was not yet able to accomplish. Father Shepard indicated that 1. He wanted to eventually have a Statute of the Mother and Child placed in the sanctuary. 2. Accomplish more "Parent involvement for those children currently undergoing "religious formation". 3. He had hoped to involve the entire parish and provided considerably more service and interaction with our mission in Bolivia. Gerry Luzak, asked if there was any objection to a report from Dennis Donovan, the visiting chairman of the Stewardship Initiative Committee. Dennis indicated that the "Stewardship Initiative" Committee met several times this past summer. Summer meetings provided a schedule for focusing parishioner toward the numerous ministries in which they can volunteer their time and talent to very worthwhile ministries which reach out beyond the church to bring the Catholic Faith in action to countless people. Dennis provided a hand-out with a schedule of events occurring before October 15th & 16th, 2005 the weekend scheduled to introduce parishioners to all of Saint James Ministries Father Shepard reminded everyone of the importance of Stewardship in the Catholic Church and asked everyone to accept the challenge to recognize what we do after we say "we believe" The theme selected for the Stewardship Initiative is We Believe, We Serve, We Share. Banners will be printed to focus parishioners attention toward the need to share their time and talents with the church's numerous and worthwhile ministries. Father Shepard pointed out the healing of self that occurs when people truly share and serve others as God called all of us to do. A contact person and telephone number is provided for each ministry. Rene suggested all ministries should be aware that they can volunteer to help other ministries especially during a ministry's special projects. Consistent with Rene's suggestion Gerry Luzak pointed out that the Helping Hands Committee needed help in that several members of its 4 member team would be laid-up with surgery. Note: Helping Hands is the ministry that visits families that very recently experienced a death in the family. This ministry makes contact with the family bringing a baked good and offers help in making funeral arrangements and developing a Funeral Liturgy inclusive of hymns and, readings. More importantly they provide the personal consolation families who just recently lost a loved one needs to hear. Roof Report Father Shepard reported that the project cost $225,000.00 and that $165,000.00 was collected leaving $59,000 to be paid by from funds in savings. The project was overseen by an independent engineer hired for the project who indicted that the sub roof was made of Tongue & Groove Oak. The roof has a 50 year warranty. Anniversary Notation Gerry Luzak advisee that in 1946 the Archdiocese named the 1st pastor, Father Heveren as the pastor of St. James of Rocky Hill. He solicited suggestion for ways to mark the 60 year anniversary. Suggestions included a Homecoming, a Single Mass, dinner Gathering and a Time Line, an Ethnic Cookbook or a Dessert Cook Book. An ad hoc committee - John Arcari, Ralph Chatterdon and Gerry Luzak will form the ad hoc committee to look into ways to mark the anniversary. Council Issues Two new members have joined the Pastor Council, John Arcari and Ralph Chaterdon. Installation of all council members will occur on Sunday September 25th at the 9AM and the 10:30 AM Mass. Name tags must be worn. Father Shepard pointed out that not all Standing Committees are represented at the Council Meeting and he would therefore like us to seek a representative from each committee to attend the Pastoral Council meeting. Father requested that the Council Constitution be listed as an agenda item for next month Greg suggested that New Goals should also be recommended for the Council. Donna Lin recommended we research the issue of "Tenure" for council members. The finance committee presentation originally scheduled did not take place. Fr. Tom Shepard led a brief discussion about basket collections and cash outflows during 2004. The bottom line was a small operating gain during 2004. 4. The Archbishop's Annual Appeal has released goals for 2005. The overall campaign goal has increased from $6.5 million in 2004 to $7.5 million in 2005. The goal for St. James Church has risen to $52,700. 5. Roof repair update: by Fr. Tom Shepard; the Parish hopes to have Diocesan approval to enter into a contract to have the roof of our church building repaired. The cost is to be $226,000. The cost of the repair beyond the funds raised during the Fall capital campaign is to be removed from Parish savings. 6. An extended council discussion took place on how to encourage non-participating members of our parish to become more active, thereby "broadening the base" of participation. 7. The Pastoral Council decided to take steps to increase awareness of Lenten parish services by having council members make brief announcements at the conclusion of each mass on the weekend of February 12th and 13th. The announcements will highlight a handout to be included with the weekly bulletin. 8. Fr. Tom led a quick discussion on "Thank you" letters from the Pastoral Council to the four members of the Roof Committee who have given a significant amount of their time. 9. The final results of the parish Mission Statement survey from last summer were supplied to the parish via an insert to a recent bulletin. 10. Gerry DeSimone led a discussion, based on a recent experience, on the amount of noise in church, especially prior to the celebration of Mass. After some open discussion by the council, we concluded that leading by example while sometimes offering a "polite reminder" is appropriate for Pastoral Council members. 11. A brief discussion took place about the parish awarding the St Joseph Medal of Appreciation to a deserving individual. Common practice has become alternating years of male and female recipients. Opening prayer in the chapel led by Gerry Luczak. 2. Update on roof repair by Fr. Tom Shepard: Four bidders were considered for the roof repair of St. James Church. Two bidders were interviewed, one bidder selected, and a proposal for the repair was submitted to the Archbishop's office. The proposal included asking permission to use the savings of the parish to make up the difference between funds raised by the capital campaign and the actual cost of the repair. All told, 451 households responded to the campaign with donations, raising $160,000 to offset the cost of the replacement. There was little response to the additional efforts at fundraising which included a second mailer as well as announcements made by Pastoral Council members at masses. The bidding criteria included a request to not have any repair work subcontracted, abatement of the existing asbestos in the roof, and the establishment of hours during which work would be performed to accommodate the mass schedule on Sunday. The roof repair project is on track for a Spring startup. 3. Fr. Tom noted that a member of the Parish Finance Committee will be invited to our February council meeting, after year-end account reconciliations have taken place. 4. Council co-chair Mike Bocchini led a discussion on the selection of 2004-05 Pastoral Council Goals. Council members had been refreshed with the goal suggestions that had taken place at the April, 2004 meeting. There was a lengthy discussion as to how best to prioritize and, perhaps, combine similar goals. Common themes included "the involvement of more of the Parish in more activities, including the celebration of Mass", and methods of increasing Parishioner Stewardship (for example, the giving of one's time, talent, and treasure (resources)). The final theme, which the council reached consensus on, read as follows: "Increase parishioners' participation in the Sacraments and Ministries of St. James". Each council member left the meeting with "homework", defines as coming up with at least two specific ideas on ways in which we might accomplish this ambitious goal. The intent of this singular council goal is to encourage parishioners to share of themselves by increasing their involvement in Parish activities. 5. A suggestion was made to invite (literally) parishioners to join our monthly meeting on a regular basis. Donna Lin voiced that she thinks that it's important that the Pastoral Council attempt to communicate with the parish at large, to determine if we are following their wishes in our planning, discussion, and decision making. Council members pointed out that as spokespeople for the various ministries that the Parish supports, it's our endeavor to lead the rest of the parish. 6. The council heard a Publicity Committee report from Dennis Donovan. That committee last met on 11/22/04 and has spent time focusing on local "networking" opportunities, designed to spread the work about our Parish. In addition, Dennis also noted that the Stewardship Committee has essentially been absorbed in to the Publicity Committee. The next meeting of the Publicity Committee takes place on 1/22/05 at St. James. 7. Last June, the Parish took part in a questionnaire, which was disseminated after various masses, and was aimed at providing the Pastoral Council with direction in evaluation the effectiveness of the Parish Mission Statement. Paul Egan summarized the results for the Pastoral Council. It was noted that, by and large, parishioners appear to be pleased with their experience in our parish. 8. The council passed on the agenda item: "Is it too noisy in Church before and during mass". 9. Gerry Luczak led a discussion about Center Edge. The underlying message is for members of the community, our Parish community included, to realize our importance and impact upon the community in which we reside. 10. Handouts were circulated concerning the respect life committee by Gerry Luczak, and by Fr. Tom concerning the Archdiocesan effort at mandating child protection workshops for employees and volunteers who have contact with young people. 11. Update on capital campaign for the replacement of the Church roof: Fr. Tom Shepard informed the council that 334 families have responded to the Parish's request for a financial commitment in support of roof repairs which need to be done in the spring of 2005. At the present, $134,000 has been raised, which represents less than half of what needs to be raised. Rene Egan commented that some parishioners were more willing to make a smaller monthly commitment than a larger, one-time donation. Fr. Tom reviewed the details of the two letters which have been sent to Parishioners. If the goal is not achieved, the shortfall will likely need to be funded by invading the Parish savings. Several council members committed to speak at each of the masses next weekend to ask Parishioners for their support. 5. Event review for "An Evening in La Paz": several council members spoke out that the evening was a positive experience and was nice to attend. Pictures were taken and $1,500 was raised for the Catholic University in Bolivia. 6. Upcoming event this weekend, the Jazz Brunch will take place in the Parish center. A discussion took place on the council's level of preparedness for the day. 7. Upcoming event on 11/16/04, the Center Edge project: Gerry Luczak reminded council members that, as the sponsoring Parish, we need commitments to assist at the event. 8. Other upcoming events: Fr. Tom offered the dates of upcoming Parish related events: 12/26/04, the Family Christmas Pageant, and 1/2/05, the appreciation party for Parish ministries. 9. Guest speaker: Cathy Russell joined the council meeting to highlight the upcoming "Night in La Paz" event, taking place on Wednesday, 10/20/04 at 6:00 PM in the Parish Center. The event is a fund raiser for the Catholic University in Bolivia. Cathy provided her phone number and email address and asked for assistance from the council in carrying out the event's activities (setup, decoration, food, cleanup). Food, games, and llama are all part of a Night in La Paz. There may be student visitors from Bolivia at the event. 5. Publicity Committee update: Gerry DeSimone updated the council on the committee's status since the last meeting. Gerry notes that Publicity is "up and running" with 11 members. The committee is high on promoting multiple forms of reaching our parishioners, as well as the general public. Those include the use of Rocky Hill Public access, which can be accessed directly by the various committees of St. James Parish without the need to go through the Publicity Committee. 6. Publicity also discussed the Parish newsletter. The 4th quarter newsletter has been submitted for printing. The next issues will be printed in January, 2005. The deadline for article submission is November 15, 2004 for that issue. Laura Giacobbe, who spearheads the newsletter, is looking for forward-looking items for inclusion in that publication. 7. Events: Friendship Sunday, held the weekend of October 2 and 3. By all counts, the event was very successful. Several council members had very positive comments, remarking that this year's Friendship Sunday was "outstanding… and the best attended yet", and that it was "very successful" in attracting the attention of a good number of our fellow parishioners. Special thanks go out to those who made Friendship Sunday successful. 8. Parish Mission Statement: Gerry DeSimone is tabulating the final results from the Parish survey and needs any remaining survey summaries sent to him as soon as possible. 9. Cindy Sobiesiak informed the council that there is an upcoming Parish event to be held Halloween weekend, celebrating the 40th anniversary of the Second Vatican Council. The meeting will take place in the Parish Center after all masses, and will highlight Parishioner memories from before 1965. 10. Gerry Luczak led a discussion on Center Edge and asked the council if anyone is interested in joining. 11. Fr Tom Shepard provided the Pastoral Council with an update on the fund raising effort for a new church roof. The Parish has raised only 18% of its goal of $300,000 in this one-time capital raising effort. Fr Tom expressed some concern that the total is lower than he had hoped, and expects that a second communication to our fellow Parishioners will be necessary. Fr Tom reiterated the need to "get the word out", as the fund raising needs to be completed prior to the Holiday season. 12. Committees: a. Youth: Lori Riley reported that Eucharistic adoration was recently attended by the youth group. Lori was impressed with the respect showed by the young people who attended. Lori noted that Adoration takes place on the First Friday of each month after mass until 7:00 PM. Sharon Gagne, who was unable to attend the Pastoral Council meeting, passed along that the Youth Group attendance was okay, but not great. b. Stewardship: Dennis Donovan described to the group that a "transition" has taken place in the Stewardship Committee in that the committee is at a crossroads with regard to participation. Many of his fellow members have moved on to other endeavors, and left that committee in need of new individuals willing to make a commitment. c. A Jazz Brunch is scheduled for the 7th of November. This includes a New Parishioner breakfast, and will take place in the Parish Center from about 10:00 Am to about 1:00 PM. The focus will be on our Pastoral Council to help to direct and coordinate the day's activities, food, and to help guide our guests. d. Greg Czerkawski had two events to bring to our attention: on Friday, 10/8/04, a musical concert in the Church taking place at 7:30 PM, and a Flute Ensemble on the 7th of November at 4:00 in the afternoon. 13. Gerry Luczak addressed the council and asked that council members look up recent work by the Catholic Conference of Connecticut. As we approach the upcoming national elections, the recent work of this conference in the areas of abortion, same sex marriages, and embryonic stem cell research should be of interest to each of us as Catholics. 14. Discussion on the roof replacement was lead by Father Shepard. Members of the committee spoke at all masses to the parish on 9/11 and 9/12. It could cost as much as $300,000. to remove the existing shingle layers and replace any dry rot of the subroof. 1,800. families will receive letters explaining the need to contribute $500. per family. Additional information will be in the bulletin during the next few weeks. Bids will be collected and submitted to the Archdiocese and hire a contractor before Thanksgiving. The plan is to start the project in April 2005. The roof replacement committee members all have background in construction. 1984 was when the last roof was installed. 40 year shingles will be used this time. Work will stop during weddings but will still continue during all other use of the church. The last time funds were raised for a major project was 7 years ago for the renovation. Gerry Luzcak discussed that council member participation was needed to help comple the results of the mission statement questionnaire. He also mentioned that he was still looking for a co-chairperson. How to build parishioner stewardship discussion was lead by Father Shepard in Dennis's absence. The stewardship committee is considering another jazz brunch gathering to display the ministries. They are also planning another breakfast for newly registered parishioners since one hasn't been held for a few months. "What can I do with the gifts I have after I say I believe" said Father Shepard. There are conferences our stewardship committee can attend to learn how to raise awareness of stewardship. We can run a campaign to promote stewardship. Council Web page update was led by Cindy. She was looking for someone to check the website monthly for changes. Mary Ellen volunteered to check the web site. Gerry DeSimone mentioned that a interactive questions/answer feature would be helpful. A discussion about the parish calendar was mentioned. At this time, consolidation of events from the parish, outside events and private parties would be difficult for a committee or individual to do. Cindy maintains a calendar of events and meetings on the parish website. Betty the secretary also has that information including private party bookings of the parish center. Outside events ie: Catholic book store book sale are written in the mass book. The newsletter deadline was September 8th but Cindy mentioned that Laura had a fair amount of information. Laura from publicity wasn't able to attend the council meeting this month. Friendship Sunday - October 2nd and 3rd. Postcards need to be printed and mailed next week. Jeannine will be in charge of the refreshments. A sign up was circulated for council members to be available. Installation Ceremony of Pastoral Council Members September 18 and 19th. A sign up was circulated for a minimum of 4 council members to attend the masses. Council members will come forward after the homily, then Father Shepard or Father Frisbie will give a blessing and present each member with a medallion of St. James. Center Edge Project - The group had a meeting on August 25th which Joanna Brier attended. The Office of Urban Affairs is involved. Bishop is in favor of the project. Evening prayer. 2. Review of meeting minutes from March, with changes noted. A revised set of minutes is to be provided to Cindy Sobiesiak for posting to the Parish web site. 3. A letter was read to the council from a Parishioner who was disappointed in the poor manners shown by a fellow parishioner while attempting to be seated at mass. Various council members added personal stories, reinforcing this person's recounting of his experience. A parishioner was apparently rude when the man attempted to seat himself in her pew at mass. The council noted that it is common at our parish to have some individuals unwilling to move into the pew to allow others to be seated. We also agreed that this lack of respect for each other does not reflect well on our community. Fr. Tom asked that we each try to remember why we're at mass, and that, perhaps, the best solution is simply to set a good example for our fellow parishioners. As Father Tom pointed out 99% of our parishioners would not treat other church goers in this inconsiderate and unwelcoming manner. 4. Due to time constraints, the council agreed to postpone any discussion on the recent film "The Passion of the Christ" to a future meeting. 5. Mission Statement Task Force 1. Paul Egan reported to the council the progress of the task force. A questionnaire handout will be completed by Parishioners during mass in the coming weeks. Paul asked for council input in determining the menu of questions to be asked. 2. Donna Lin added that there were 16 responses to the recent basic questionnaire presented in the Parish newsletter out of 1,800 which were mailed to parishioners. Donna reviewed the content of the responses with the council. 6. The Publicity Committee reports… 1. With the absence of Greg Czerkawski, Gerry DeSimone reported on the Publicity Committee's progress. Tasks are largely falling on committee members at this time. Council members were asked to help identify parishioners interested contributing to the Publicity Committee. It was pointed out that the Council needs to draw on the resources of the committees whose members can help identify interested parishioners. Specifically, the Publicity Committee is looking for parishioners who would be willing to take photographs at parish events and to submit them to area newpapers. That way we could reach out to the community to let them know about parish activities. 2. Parishioner and Publicity Committee member Laura Giacobbe will be taking over the publication of the Parish newsletter, Footprints, which is next due for publication in June. The deadline to submit written material and photographs to Laura is April 30th. Councilors were encouraged to submit information about their committee's upcoming events and activities. 7. Fr. Tom offered the council a brief reminder that our call to Stewardship is a necessity, and that we do need to ask of ourselves "What do I give back to God?" 8. Nominating Committee 1. Gerry Luczak reported that last month's guest is not "a meeting person", and will not be joining the council. He was most interested in a specific task. Gerry added that it is important that the council "prepare" any invited guest to our monthly meeting to avoid their not being able to adequately follow our discussion. 2.
